Are your calls recorded by default?
No. A one-to-one call, group call, or live session on avaTOK is not recorded automatically just because it runs on the platform. A recording only exists in two situations: someone on the call turns on an in-app recording feature (where it’s available for that call type), or your AI receptionist answers a call on your behalf while you’re unavailable.
Recording features aren’t available on every call type, device or region, and end-to-end encrypted features can’t be recorded by avaTOK at all. Keep in mind anyone can also record a call using tools outside avaTOK entirely — a screen recorder or second phone — which no platform can prevent.
Getting (and giving) consent
If you start a recording, you’re responsible for it: ask everyone on the call first, say what you’re recording and why, and stop if anyone objects. Recording laws differ by country and some places require every participant’s consent — avaTOK can’t tell you which rules apply to your call, so when in doubt, ask.
When avaTOK’s own in-app recording feature is running, participants see a visible indicator while it’s on. That indicator is a courtesy, not a substitute for the consent the law may require from you.
Never record covertly, keep recording after someone withdraws consent, or record intimate content without consent — these are serious breaches of our Acceptable Use Policy, and anything involving a minor is covered separately by our Child Safety Standards.
The AI receptionist
If you turn on the AI receptionist to answer calls when you’re away, the exchange between it and the caller is processed so it can understand and respond, and — depending on your settings — a transcript, summary or recording of that conversation may be kept so you can see what the caller wanted. Only that receptionist exchange is captured; if the call is then handed over to you, the normal rules above apply from that point on. Enabling the receptionist, and telling callers about it where the law requires that, is your responsibility as the account holder. You can turn it off any time in the app.
Who can see a recording, and for how long
A recording, transcript or summary made through avaTOK is stored against the account that created it. The account holder — and anyone they share it with — can see it; avaTOK’s own staff don’t routinely listen to recordings, and only access one for support you’ve asked for, an abuse investigation, or where required by law. Recordings are kept for as long as you keep them, or as long as needed to provide the feature, meet a legal obligation, or resolve a dispute; deleted items can persist briefly in backups before being overwritten. Never share, publish or forward a recording of someone else without their consent — even if the recording itself was lawfully made.
Deleting your own recordings, or reporting one of someone else’s
To delete a recording you made, use the delete option in the app. If someone recorded you and won’t take it down, or a recording is being used to harass you or was made without required consent, report it through Report a problem or the in-app report tool with who was involved, roughly when it happened, and what’s being shared.
